Africa Automotive Analysis Limited (AAA) operates an ISO/IEC 17020:2012 accredited vehicle roadworthiness inspection centre in Nakonde, Zambia, and is the accredited inspection partner of AutoTerminal Japan (ATJ) for vehicles imported into Zambia. This policy explains what personal information we collect through our website and inspection services, how we use it, and the choices available to you.

2. Information We Collect

Booking and contact enquiries: When you book an inspection or contact us through our website, we collect your name, phone number, email address, and the details of your vehicle (make, model, registration number, chassis number, and engine number). For imported vehicles, we may also review supporting documents such as export certificates and registration paperwork as part of the inspection process.

Inspection records: We retain the outcome of each inspection, including any faults identified, and, where a vehicle passes, the associated ATJ “Inspected & Passed” certification details.

Contact form submissions: Any details you submit through a contact or enquiry form on our site are used solely to respond to your enquiry or manage your booking.

Website analytics: We collect aggregated, non-identifying data about how our website is used, such as which pages are viewed, general geographic location, and device type, to help us improve the site.

3. Cookies

Our website uses a limited number of cookies to support core functionality, such as remembering your session when using our site, and for basic website analytics. We do not use cookies to build advertising profiles of visitors.

4. How We Share Information

We share inspection and certification data with AutoTerminal Japan (ATJ) as part of our accredited inspection partnership. We share information with the Zambia Compulsory Standards Agency (ZCSA) and other relevant regulatory bodies where required by law or applicable standards (including ZS 560). We use third-party service providers, such as web hosting and email delivery services, who process data strictly on our behalf to help us run our website and services. We do not sell your personal data to any third party.

5. Data Retention

Inspection and certification records are retained for as long as required under applicable Zambian regulatory and accreditation standards. Contact form and enquiry data is retained only as long as needed to resolve your enquiry, unless a longer period is required for legal, administrative, or accreditation purposes.

6. Your Rights

You may request a copy of the personal data we hold about you, or request that we delete it, by contacting us using the details below. We will respond to reasonable requests, except where we are required to retain information for legal, regulatory, accreditation, or security reasons (for example, inspection records required under ZS 560 or ISO/IEC 17020:2012).

7. Automated Decision-Making

We do not use automated decision-making or profiling in connection with your personal data. All inspection outcomes are determined by qualified AAA inspectors.

8. International Data Transfers

Your personal data is not routinely transferred outside Zambia, with the exception of inspection and certification data shared with AutoTerminal Japan (ATJ) as described in Section 4, which is necessary to complete the accredited inspection process for imported vehicles.

9. Data Security

We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse. No method of electronic storage or transmission is completely secure, but we work to apply appropriate safeguards across our systems.

10. Data Breaches

In the event of a data breach affecting your personal information, we will investigate promptly and notify affected individuals and the relevant authorities where required by applicable law.
